Our B2B Portal is primarily used by fleet lease and rental providers who manage vehicle fleets on behalf of their customers. We may extend access to insurers and other business partners in the future who require similar fleet management capabilities.
Where you are a fleet customer or other authorised business partner or use our services through a fleet arrangement, we may share certain personal data with authorised account managers at your fleet provider or other authorised business partner through our B2B portal. You must ensure the individual concerned is aware of the various matters detailed in this Privacy Notice, as those matters relate to that individual, including our identity, how to contact us, the way in which we collect and use personal data and our personal data disclosure practices, that individual's right to obtain access to the personal data and make complaints about the handling of the personal data, and the consequences if the personal data is not provided.
It is important that the personal data we hold about you is accurate and current and we take all reasonable precautions to ensure that this is the case but we do not undertake to check or verify the accuracy of personal data provided by you.

We will not be responsible for any losses arising from any inaccurate, inauthentic, deficient or incomplete personal data that you provide to us or permit us to retain through failing to notify of any changes to your personal information.
The data that we collect from you may be transferred to, and stored at, a destination outside of the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. This includes transfers to TikTok/ByteDance (including to Singapore and other non-EEA countries), Google/Alphabet (including to the United States), and Snowflake's cloud analytics platform (including to the United States). Where we transfer your data to such recipients, we ensure that appropriate safeguards are in place, including the use of Standard Contractual Clauses approved by the European Commission and/or reliance on adequacy decisions where applicable. Snowflake maintains appropriate technical and organisational security measures to protect your personal data. Such staff may be engaged in, among other things, the fulfilment of your order, the processing of your payment details, the provision of support services including management of chat communications, or data analysis that will assist us in improving our services to you and others in the future. By submitting your personal data to us, you agree to such transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy.
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website or B2B portal; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site or B2B portal, you are responsible for keeping that password confidential. We ask you not to share a password with anyone.
We will store your personal data for the time period that we believe is appropriate in accordance with our data retention policy (including for personal data processed specifically for analytics purposes (including conversion tracking and performance analysis). In order to allow us to give effect to the lifetime guarantee offered by Autoglass® by allowing customers to benefit from that advantage without themselves having to retain proof of our work on their vehicle, we retain our customer records for 15 years from the date we performed our vehicle work or the date of the last communication, whichever is later. In addition, our retention of data allows us to support recalls (for example, by vehicle and product manufacturers) of vehicles. We keep the length of time that we hold personal data under review. Those reviews take place annually.
Chat conversations and other communication data from our B2B portal are retained as part of customer records to ensure continuity of service, support quality assurance initiatives, and comply with our legal obligations. This communication data forms part of the comprehensive service history we maintain for each customer, enabling us to provide consistent support and maintain service quality standards across all customer interactions. The retention of such data allows us to reference previous communications when resolving future enquiries and ensures that important business discussions and decisions are properly documented.
In certain circumstances the provision of personal data by you is a requirement to comply with the law or a contract, or necessary to enter into a contract.
It is your choice as to whether you provide us with your personal data necessary to enter into a contract or as part of a contractual requirement. If you do not provide your personal data then the consequences of failing to provide your personal data are that we may not be able to perform our service to the level you expect under our contract with you. An example of this would be where we are unable to provide you with certain services as we do not have your full details, or where we cannot perform our contract with you at all because we rely on the personal data you provide in order to do so and that information is incorrect.
